Personal Information Collection Statement

This Personal Information Collection Statement ("PICS") gives you information that Social Career Limited ("Social Career") and The Hong Kong Jockey Club Charities Trust ("the Trust", and together with Social Career, the "Provider") is required by the Personal Data (Privacy) Ordinance (Cap 486) (the "Ordinance") and applicable laws to provide to you in relation to the Personal Data that the Provider will be collecting from you in connection with your access and use of the JC VOLUNTEER TOGETHER PLATFORM ("JCVTP").

In this PICS, capitalised terms used shall have the following meanings:

"App" means the Provider's proprietary mobile application available on the Apple App Store and Google Play Store, which can be used to access the JCVTP;

"JCVTP" means the JC VOLUNTEER TOGETHER PLATFORM, and includes the volunteer opportunity aggregator and recognition platform and App operated by Social Career Limited and funded by the Trust;

"NGO" means a not-for-profit non-governmental organisation, and for purposes of this Privacy Policy, shall include all forms of Hong Kong based not-for-profit organisations;

"Personal Data" means any data or information relating to an individual (such as name, date of birth, addresses and contact details) and from which it is practicable for the identity of that individual to be directly or indirectly ascertained, and in a form in which access to or processing of the data is practicable;

"Users" or "you" means any individual, entity or organization who accesses, views or uses the JCVTP;

"User Account" means an account established by us in connection with the JCVTP for a User to be able to use the JCVTP;

"Volunteer Platform" means third party volunteer platforms accessed via JCVTP offering the Volunteer Opportunities; and

"Volunteer Opportunities" means opportunities offered, posted or featured on the JCVTP seeking volunteers to provide free services to an NGO.

What types of Personal Data is collected by us?

The types of Personal Data we may collect, from time to time, includes:

your full name and email address;
your mobile number and residential district;
profile information (such as gender, year of birth, occupation) provided by you in relation to your User Account;
information regarding your volunteer experience and Volunteer Opportunities in which you have participated (including the NGO you volunteered with, and the date, time, venue and nature of the Volunteer Opportunity);
the types of Volunteer Opportunities in which you may be interested;
any communications between you and the Provider; and
details of your visits to our JCVTP and your User Account activities.

If you do not provide us with your full name and either email address or mobile number, we cannot set up your User Account and you will be unable to use the JCVTP.

How we collect your data

‍We collect your Personal Data from various sources, such as:

when you sign-up for and use the JCVTP by creating a User Account;
when you update your User Account;
when you or a NGO submits your volunteer contribution record to us;
when you claim a reward;
when you fill out a survey or any other form of questionnaire; and
when you submit enquiries directly to customer support or through third-party tools.

What we use your data for

‍The Personal Data collected by us will be used to:

operate the JCVTP;
process and complete your application for registration of a User Account and administering your User Account;
managing and administering any redemptions and rewards available through the JCVTP;
matching (as defined in the Ordinance) your Personal Data with other data collected (by the Club Provider or third parties) for other purposes, in relation to, the provision of facilities, goods and services to you and/or the performance of any transactions and administration work related to the JCVTP's operations;
marketing and advertising of any facilities, goods and services to you by the Provider, such as sending you offers and promotions (please see further details in "Direct Marketing" below);
maintaining the JCVTP system;
meeting any obligations, requirements or arrangements, whether compulsory or voluntary, of the Provider to comply with, or in connection with:
- any law, regulation, judgment, court order, sanctions regime, within or outside the Hong Kong Special Administrative Region ("Hong Kong") existing currently and in the future; or
- any guidelines, guidance, demand or requests given or issued by any legal, regulatory, governmental, tax, law enforcement or other authorities within or outside Hong Kong,
complying with any obligations, requirements, policies, procedures, measures or arrangements for sharing data and information of the Provider and/or any other use of data and information in accordance with any programmes for compliance with sanctions or prevention or detection of money laundering, terrorist financing or other unlawful activities;
prevention, detection or investigation of crime; and/or
facilitating communications between you and the Provider.

When we request any other Personal Data from you, we will notify you at the time of collection as to whether or not it is mandatory for you to provide such Personal Data to us. If you do not provide any mandatory Personal Data to us, then we may not be able to: (i) process or complete your application for a User Account; (ii) keep a record and generate a certificate reflecting the Volunteer Opportunities in which you have participated; (iii) respond to any queries submitted by you; or (iv) redeem rewards through the JCVTP.

Direct Marketing

The Provider intends to use your Personal Data for direct marketing carried out by the Provider (or by an agent on behalf of the Provider). The intended kinds of Personal Data to be used and the intended classes of marketing subjects are specified below. However, the Provider may not so use or provide your Personal Data unless exempted by the Ordinance or the Provider has received your consent.

In connection with the above direct marketing use, the Provider intends to:

use your name, contact details and demographic information; and
market or promote the following classes of facilities, goods, services, support and related events and activities offered or arranged by the Provider.

You can always opt-out by contacting support@jcvtplatform.hk if you no longer wish any of your Personal Data to be used in any of the described direct marketing purposes.

Who we share your data with

Your Personal Data held by the Provider will be kept confidential. To facilitate the purposes set out in the paragraph above, we may transfer, disclose, grant access to or share your Personal Data with the following parties:

reward suppliers;
third-party service providers, such as third parties that host the JCVTP, provide analytics, facilitate communications on the JCVTP, advertise rewards, send out emails and updates, or provide back-office or IT services, on our behalf;
government and regulatory authorities, investigative bodies and law enforcement agencies and other organisations, as required or authorised by law; and/or
your authorised representatives or your legal advisers when requested by you to do so.

Access to Data and Correction

‍The Ordinance provides you with rights in respect of Personal Data that we hold about you, including the right to request a copy of the Personal Data, request that we rectify, restrict or delete your Personal Data, object to profiling and unsubscribe from marketing communications.

have any questions regarding this PICS or the way in which we handle your Personal Data;
wish to submit a request to access or correct your Personal Data held by us; or
wish to withdraw your consent to the receipt of any Marketing Materials.

Changes to the Privacy Policy Statement

The Provider will post any updates to this PICS on the JCVTP so that you will always know what information the Provider gathers, how it might use that information and whether it discloses such information to anyone.
